Provides executive, administrative and operational support to the Site Manager, ensuring adherence to company policies, processes, deadlines and budgets.


Principal Activities and Responsibilities

  • Liaises with internal and external stakeholders to ensure the timely delivery and execution of administrative and operational requirements to support the Barbados business, maintaining a high level of confidentiality and approach demonstrative of the IGT values
  • Coordinates, executes and follows up on company activities, including but not limited to meetings, corporate functions, promotions, employee engagement activities, sponsored initiatives, partnerships, retail stores activations, ensuring delivery within deadline and budget
  • Assists department representatives with the execution of projects and activities (as assigned by the Site Manager)
  • Responsible for and coordinates the maintenance of company fleet and facilities (including but not limited to the administrative office, retail store, warehouse, company vehicles)
  • Assists with the management of the Site Manager’s schedule, including meetings, appointments, conference calls, functions
  • Ensures timely preparation and distribution of internal and external reports, correspondence and documents 
  • Independently researches and obtains information for the preparation of  reports and other special assignments and correspondence
  • Supports the management of local sponsorship and donations, including recording of and responses to requests, as well as support the execution and reporting of approved activities
  • Assists in the management and reconciliation of site expenses (where applicable), including PO preparation and recording, invoice tracking, budget reconciliation
  • Management of office inventory, including stationary, general housekeeping, kitchen and medical supplies, branded promotional items and give aways
  • Oversees the administrative needs of IGT temporary/ contract employees, including but not limited to rostering, vacation scheduling and relief, review of time sheets review, payment
  • Establishes and maintains updated record and filing management system (physical and electronic)
  • Coordinate local and international travel arrangements for IGT staff
  • Collects, reviews, sorts, and distributes incoming and outgoing correspondence, packages, freight etc, including physical and electronic
  • Monitors traditional and electronic media and reports daily on matters of macro and micro importance
  • Assists with internal call management and routing (spill over unanswered calls)
  • Other duties as assigned by the Site Manager
