The Proposal Production Specialist (PPS) is responsible for carrying out proposal production processes for the Business Proposals Department. The PPS traffics content through desktop publishing, creates various proposal documents, contributes to status meetings, prints files, and works with the Copy Center to compile hard copy proposals. The PPS is further responsible for conducting page checks of proposals, and boxing and shipping hard copy proposals to meet deadlines. The Proposal Production Specialist must be detail-oriented, have a strong sense of urgency, and problem-solving skills.

Expectations:

  • Ensures production duties are performed in an efficient and accurate manner
  • Ensures that department policies and procedures are strictly adhered to
  • Maintain flow and accuracy of production process
  • Consistently contribute to and improve production process
  • Provide direction and decision making for problem resolution

Responsibilities:

  • Ensures schedules are met and notify manager when milestones shift or schedules are not being met in order to resolve issues
  • Coordinate trafficking of documents through the proposal production process
  • Work with Copy Center to organize projects and adhere to highest quality print standards. Checks quality of printing throughout the production process.
  • Conduct department page checks
  • Creates exhibit lists, tabs, shipping labels. Boxes and ships (via mail forms) hard copy proposals.
  • Print files of project components (and sends to Copy Center)
    • Box and ship proposals, including shipping logistics for domestic and international for scheduling
    • Archiving of hard copy proposals and documentation

Education:

  • Minimum Education Required: Associate’s degree (preferably in Management, Business or Information Technology) or equivalent experience.
  • Experience
    • Experience in production/publishing with a clear understanding of scheduling, scheduling software, and allocation of resources.
    • 1+ years of related experience with demonstrated success delivering projects efficiently, on-time, and in-scope. Previous experience as a Project Coordinator is desired
  • Essential special training requirements
    • Must have high proficiency using MS Office and Publishing software.
    • Must have intermediate proficiency using MS Project and graphics software.
